The short version. We collect what you give us, basic server logs, anonymous visit statistics, and public business contact details for roofing companies we reach out to. When a roofing company uses the Sales Desk, we handle its homeowner data only on its instructions. We never sell personal information, and we never share mobile numbers or text-message consent for anyone's marketing. Ask, and we'll delete what the law lets us delete. The full policy below is what counts.
1. Who we are
HansHive is a business run by Laksh Jain ("HansHive", "we", "us"). This policy explains how we handle personal information. Email laksh@hanshive.ai with any question. A person reads every email.
2. Who this policy covers
- Visitors to hanshive.ai, and to tryhanshive.com and gethanshive.com, which send you to hanshive.ai.
- Roofing company owners and staff we contact, or who contact us, including through the Lead Leak Audit.
- Customers: roofing companies that buy the HansHive Sales Desk, and their staff.
- Homeowners and other people who contact a Customer, or whom a Customer asks us to contact, and who reach the Sales Desk.
For visitors, prospects and Customer staff, we decide how information is used. For homeowner data, the roofing company decides. We process that data on its behalf and on its instructions, as its service provider. If you are a homeowner, the roofing company's own privacy policy applies too, and it is your first contact for requests about your data.
3. What we collect
| Type | What it includes | Where it comes from |
|---|---|---|
| Contact details | Name, business email, phone number, company name, job title | You, or public sources for companies we reach out to |
| Messages and bookings | Anything you write to us, your booking time and notes, and what you tell us on calls | You, our email and our booking calendar |
| Public business information | Company name, address, phone, website, public reviews, owner or manager names, and business email addresses | Public websites, map and business listings, and email-finding and verification tools |
| Audit notes | The date and time we called or wrote, who or what answered, and how long a reply took | Our own tests (see section 4) |
| Website logs | IP address, browser type, page requested, referring page, and time | Automatically, through our hosting provider |
| Visit statistics | Page viewed, referring site, approximate location (country, region and city), browser, operating system, device type, and time. We see these as totals, not as individual people | Automatically, through Vercel Web Analytics (see section 9) |
| Customer account details | Billing contact, contracts, invoices, and payment records. We do not receive or store full card or bank account numbers | Customers and payment providers |
| Customer business data | Staff names and calendars, CRM records, estimates, lead-source data, and the business information used to set up the Sales Desk | Customers, and the systems they connect |
| Homeowner data | Name, phone, email, property address, roof details and damage description, insurance-claim status, appointment details, messages, call audio and transcripts where calls are recorded, consent records, and opt-outs | Homeowners, lead sources, and Customers |
What we don't want. Please don't send us Social Security numbers, government IDs, card or bank details, health information, or information about children. The Sales Desk is not built to collect them. If we find them, we delete them.
4. The Lead Leak Audit
Before we contact a roofing company, we may call its main business number after hours and send a real question through its website form. We note the result as described in section 3.
- We use our real name and contact details.
- We never pretend to need a roof, and we never book a fake inspection.
- We do not record these calls.
- Our first email tells you we ran the test and what we found.
Tell us to stop at any time and we will. We use public business details and audit notes because we have a legitimate business interest in telling roofing companies about a problem we can help with. We keep this limited to business contact details.
5. How we use it
- To reply to you, schedule and run your Lead Leak Audit, and follow up about it.
- To contact roofing companies by email and phone about our service, with an easy way to opt out.
- To provide the Sales Desk: answer leads, book and confirm inspections, follow up estimates, hand conversations to the Customer's team, and report results.
- To bill Customers and keep tax and business records.
- To keep the service and website secure, fix problems, and improve them.
- To count visits and see which pages people read.
- To meet legal duties, keep records of consent and opt-outs, and protect our rights and other people's safety.
We use homeowner data only to provide the service to the Customer it belongs to. We do not use it for our own marketing, we do not combine it across Customers, and we do not contact homeowners on our own behalf.
6. Texts, calls and email
For homeowners
- Texts and calls from the Sales Desk are sent for the roofing company named in the message. That company is responsible for having the consent the law requires.
- Reply STOP to any text to opt out. Reply HELP for help. Message frequency varies. Message and data rates may apply. Carriers are not liable for delayed or undelivered messages.
- Outbound texts go out between 8 am and 9 pm in your local time, or a narrower window where state law requires one.
- The assistant says it is an AI, and on calls it says the call may be recorded. If you want a person, ask, and the roofing company's team is alerted.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-message opt-in data and consent are never shared with anyone, except the service providers that deliver the messages and the roofing company you gave consent to.
For roofing companies
Our business emails include our name, a postal address, and a way to opt out. Reply "no" and we stop. We keep your address on a do-not-contact list so that you stay off our list.
7. How AI is used
- Messages and call content are processed by AI models and voice systems to understand what someone needs and to write or speak a reply.
- We use only providers whose terms, or settings we have chosen, do not let them train their general models on this data.
- We do not use homeowner data to train any model for anyone else's benefit.
- The Sales Desk does not make decisions with legal or similarly significant effects about people. It answers, books and follows up, and the roofing company makes its own decisions.
- AI can make mistakes. Tell the roofing company or us if something it said about you is wrong.
8. Who we share it with
We never sell personal information, and we never share it for targeted advertising. We share it only as follows.
| Who | Why |
|---|---|
| Website hosting and visit statistics (Vercel) | To run this website and count visits |
| Email and calendar (Google Workspace) | Email, booking and scheduling |
| Outreach and data tools (such as Instantly and Apify) | To find public business details, check email addresses, and send business email |
| Phone and text providers (such as Twilio), and voice-agent platforms | To deliver calls and texts for the Sales Desk |
| AI model providers (such as Anthropic) | To understand messages and write replies |
| Database and hosting (such as Supabase) | To store Sales Desk data |
| Payment providers (such as Wise or Payoneer) | To invoice and receive payment |
| The Customer's own tools (such as its CRM and calendar) | To book appointments and record leads, at the Customer's direction |
| The roofing company you contacted | Homeowner data belongs to that company, and it sees your messages and bookings |
| Professional advisers | Lawyers and accountants, under a duty of confidentiality |
Service providers may use this data only to work for us, and must protect it. We may also disclose information if the law, a court, or a valid legal process requires it, or to protect someone's safety or our legal rights. If the business moves into a company we form, or is merged or sold, information may transfer with it, and this policy will keep applying until a new one is posted.
9. Cookies and tracking
This website sets no cookies. It has no advertising pixels and no cross-site tracking, and we host our fonts ourselves.
To count visits we use Vercel Web Analytics, which records the visit statistics listed in section 3. Vercel recognizes a visit by a hash made from the incoming request and discards that hash after 24 hours. We see totals, not individual people.
If we add any other analytics or tracking tool, we will update this policy first. Because we don't track you across sites or sell your data, there is nothing for a Do Not Track or Global Privacy Control signal to switch off.
Clicking a booking button opens a Google Calendar page, and links to our sources open other websites. Those sites have their own privacy rules.
10. How long we keep it
| Data | How long |
|---|---|
| Website logs | The short period set by our hosting provider |
| Visit statistics | The period set by our hosting provider. The hash used to recognize a visit is discarded after 24 hours |
| Public business details and audit notes | 24 months after our last contact, or until you ask us to delete them |
| Do-not-contact list | For as long as we do outreach, so that we keep honoring your request |
| Emails and bookings with prospects | 36 months after our last contact |
| Customer contracts, invoices and payment records | The length of the contract, plus as long as tax and accounting law requires |
| Homeowner data | While the Customer's contract runs, then deleted within 60 days after it ends, unless the Customer asks for earlier deletion or the law requires otherwise |
| Call recordings | Up to 180 days, or less if the Customer asks |
| Consent and opt-out records | 5 years after the last message, so that consent and opt-outs can be proven |
11. Security
We use encrypted connections, limit access to the people and systems that need it, and use two-factor sign-in on the accounts that hold this data. No system is perfectly secure, so we can't promise that nothing will ever go wrong. If a breach affects your information, we will notify you, the affected Customer, and any authority as the law requires, without undue delay.
12. Your rights
You can ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct it;
- delete it;
- stop contacting you.
We give these rights to everyone we deal with in the United States, whether or not your state's law requires it.
How to ask. Email laksh@hanshive.ai. We may need to confirm who you are before acting, and we only ask for what we need to do that. You can use an authorized agent if you give them written permission. We reply within 45 days, and if we need up to 45 more days, we tell you why.
What we may have to keep. The law may require or allow us to keep some records, such as invoices and consent and opt-out records. We tell you if that applies.
If we say no. Reply with the word "appeal", and we will answer within 60 days. If you are still unhappy, you can contact your state attorney general.
Homeowners. Please ask the roofing company you contacted. If you write to us instead, we pass your request to that company within 10 days and help it respond.
We will never treat you worse for using these rights.
13. California notice
In the past 12 months we have collected these categories under the California Consumer Privacy Act: identifiers; commercial information; internet activity; audio and electronic information; and professional or employment-related information. The sources, purposes and recipients are in sections 3, 5 and 8, and retention is in section 10. We do not seek sensitive personal information. We have not sold or shared personal information, including that of anyone under 16, and we do not offer financial incentives for personal information.
California residents can also ask once a year about disclosures to third parties for their direct marketing. We make no such disclosures.
14. Children
Our website and services are for businesses and adults. We do not knowingly collect information from anyone under 18. If you believe a child has given us information, tell us and we will delete it.
15. Outside the United States
Our services are for US roofing companies. We and our providers may handle information in the United States and other countries, whose privacy laws may differ from yours. We apply this policy wherever your information is handled. If you live in the European Economic Area, the UK or Switzerland and we have your information, tell us. We will answer your request under the law that applies to you.
16. Changes to this policy
When we change this policy, we post the new version here and update the date at the top. If a change materially reduces your rights, we tell Customers by email at least 30 days before it takes effect, and we don't apply it to information we already hold without the consent the law requires.
